TELEPHONE LOGBOOKS AND REVIEW


Recruiting telephone calls are logged individually by each coaching staff member and reviewed by the Office of Athletic Compliance on a monthly basis. The understanding is that all calls dealing with recruiting should be logged, but especially all calls initiated by the coaching staff members. This is to ensure that no violations occur in the recruitment of prospective student-athletes.

Each coaching staff member may log calls on the Telephone Call Log Form or transfer calls from a notebook to the Form.

With the current trend of electronic monitoring we have also begun accepting printouts from electronic monitoring software, such as, Game-On, Scoutware, etc. It is still understood that it is up to the coach to know the rules pertaining to phoning recruits and speak to a Compliance Office staff member with any questions regarding recruiting and making telephone calls.

Telephone calls are permitted on July 1 following the completion of the prospect’s junior year in high school and no more than one telephone call is permitted per week with the following exceptions:

  • Football – One telephone call to a prospect is permitted from April 15 – May 31 of the prospect’s junior year in high school. Additional telephone calls are permitted beginning September 1 of the prospect’s senior year and are limited to one telephone call per prospect outside of a contact period. During a contact period telephone calls may be made at the coach's discretion.
  • Men’s Basketball – One telephone call to a prospect is permitted on or after June 15 of the prospect’s sophomore year in high school through July 31 of the prospect’s junior year in high school. Two telephone calls per week to a prospect are permitted beginning August 1 prior to the prospect’s senior year in high school. Also you are permitted to make one telephone call per week to a two-year or four-year college prospective student athlete or the student-athlete’s relatives or legal guardians.
  • Women’s Basketball – One telephone call is permitted during the month of April of the prospect’s junior year in high school on or after the Thursday after the conclusion of the NCAA Division I Women’s Final Four. One phone call during the month of May of the prospect’s junior year in high school, one phone call on or after June 1 through June 20 and between June 21 through June 30 of the prospect’s junior year. Three telephone calls are permitted in the month of July following the prospect’s junior year, with no more than one call made per week. Starting in August, one call per prospect per week is permitted.
  • Men's Ice Hockey – One telephone call is permitted on or after June 15 at the conclusion of the prospect’s sophomore year in high school through July 31 after the prospect’s junior year in high school. Beginning August 1 prior to the prospect's senior year in high school, one phone call is permitted per week per prospect.
  • Women's Ice Hockey - One telephone call to a prospect or their relatives if that prospect is the resident of a foreign country on or after July 7 through July 1 following completion of the prospect's sophomore year of high school. Also, one telephone call is per week is permitted beginning July 7 following completion of the individual's junior year.

Exceptions: There are four exceptions to the calling limits that allow staff members to make unlimited telephone calls to a prospect (or the prospect’s parents or legal guardians):

  • After August 1, 2010 the NCAA has enacted legislation that permits sports with recruiting calendars other than Football (Men's and Women's Basketball, Lacrosse, Track and Women's Softball) to make unlimited phone calls to prospects during contact periods after August 1 (Men's and Women's Basketball) and after July 1 (in all other sports with recruiting calendars mentioned above).
  • During the five days immediately prior to the prospect’s official visit. The purpose of this rule is to allow coaches to more easily coordinate the details surrounding a prospect’s official visit.
  • During the initial date for the signing of the National Letter of Intent and during the two days immediately following the initial signing date in all sports.
  • During the day of a permissible, in-person, off-campus contact (a.k.a. the “can-you-give-me-directions-to-your-house” call).

Coaches are required to document the date and time of each telephone call to each prospective student-athlete along with the telephone number and other pertinent information regarding the telephone call as indicated on the Telephone Call Log form.

Coaches must submit their telephone logs to the Office of Athletic Compliance at the end of each month for review. A member of the Office of Athletic Compliance Staff reviews each coaching staff’s monthly telephone logs and enters them into the NCAA’s CA database to make sure the limits on telephone calls has not been exceeded. Official visit requests, signing dates and contact logs are compared with any logs where a prospect received more than the permitted number of calls to ensure that an appropriate exception was used.

In the case where the number of permissible calls was exceeded, the Assistant Athletic Director for Compliance reviews the situation with the appropriate coaching staff member to determine if a violation of NCAA rules involving telephone calls has occurred.
