OFFICIAL VISIT APPROVAL PROCESS
Per NCAA Bylaw 13.6., A member institution may not provide an expense-paid visit to a high-school or preparatory school prospect who has not presented the institution with a score from a PSAT, SAT, a PLAN or ACT test taken on a national testing date under national testing conditions. The score must be presented in writing through a verifiable high-school or testing-agency document.
Further, the prospect must provide the institution with an official or unofficial high school (or college) academic transcript.
Procedure prior to the visit:
- The prospective student-athlete must register with the NCAA Eligibility Center and be placed on the institution’s institutional request list (IRL);
- The prospect must present the institution with a high school (or college) academic transcript. If the prospect’s transcripts are available through the NCAA Eligibility Center, the Office of Athletic Compliance may obtain the information.
- The coach submits an Official Visit Permission Form to the Office of Athletic Compliance along with copies of the prospect’s official or unofficial high school transcript and test score a MINIMUM of 48 hours in advance of the student DEPARTING FROM HOME for the visit. If circumstances do not permit timely submission of the official visit permission form, all visit approvals are to be made by the Athletic Director.
- The Office of Athletic Compliance verifies the transcript and test score, IRL activation, sending of an official visit letter to the prospect, and final approval for the visit by checking "Yes" to each on the Official Visit Permission Form. This information is simultaneosly entered into the NCAA's CA database. The Office of Athletic Compliance will return a copy of the initialed form to the coach.
- If an invalid transcript and/or test score, the Office of Athletic Compliance will notify the coach by e-mail and by phone that the visit will not be approved without the appropriate information.
- The Office of Athletic Compliance informs the Athletics Administrative Assistant as to which prospect's paperwork has been completed for the purpose of disbursing the official visit host money. The Athletics Administrative Assistant will not disburse host money funds without the prior approval of the Office of Athletic Compliance. Coaches that do not receive prior approval will not be reimbursed and may be subject to NCAA violation.

- At the end of the official visit, the prospect and the coach must complete the Post-Official Visit Form. The prospect verifies that applicable recruiting visit rules were followed, and the coach affirms what expenses were provided to the prospect.
- All official visit documentation must be completed within two weeks of the prospect’s departure and returned to the Office of Athletic Compliance along with the Student Host Form.
